Director of Events - Virginia Youth Soccer

OVERVIEW:

The Director of Events is a full-time, salaried position that is responsible for the administration and execution of Virginia Youth Soccer events and meetings. Duties include providing competition schedules, coordinating contracted staff and volunteers, timely communications, managing timelines, providing outstanding customer service, and serving as onsite lead for all VYSA marquee events and meetings.

PRIMARY RESPONSIBILITIES

  • Assume the lead role in the planning and execution of all VYSA events (including VYSA State Cup, Presidents Cup, Futsal State Cup, and other competitions)
  • Assist VYSA Department Heads with other VYSA events, competitions and meeting preparations and planning.
  • Manage technology and scheduling platforms for data collection, analysis, and distribution.
  • Develop event overview documents and recap documents for all events to include feedback from all stakeholders and synthesize the information into executive debriefs.
  • Develop an internal and external communications plan for all events and meetings.
  • Manage department event budget forecasts, reconciliation process and assist to ensure timely and accurate invoicing, billing, and reconciliation of all events.
  • Manage event contracts, communications and timelines with facilities, vendors, referees, medical staff, and other support elements.
  • Coordinate with all other VYSA departments to confirm deliverables.
  • Coordinate planning as needed and attend USYS Regional and National events in support of VYSA member clubs and teams that have qualified.
  • Coordinate logistics to include shipping, arrival, set up, and tear down.
  • Develops, seeks resources, and implements specials projects for VYSA.
  • Understands VYSA bylaws, policies, and programs.
  • Additional responsibilities as assigned.

 

EXPERIENCE AND QUALIFICATIONS

  • Should have experience with soccer tournament scheduling platforms-Preferred familiarity with GOTSport registration and scheduling software.
  • Proficient in managing multiple projects concurrently with strong attention to detail, problem solving and follow-through.
  • Outstanding written and verbal communication skills
  • Experience collaborating with volunteers, preferably in a non-profit environment.
  • Prior work experience with youth soccer or other youth sports administration and events is highly desirable.
  • Familiarity with youth soccer in Virginia
  • Ability to work independently and effectively in a fast paced, team environment.
  • Ability to lift 50 pounds.

 

REQUIRED SKILLS AND EXPECTATIONS

  • Understanding of best-in-class event and meeting trends
  • Experience and success managing multiple workstreams of an event, and multiple events simultaneously:
    • Detail oriented and excellent project management and organizational skills.
    • Experience creating and managing detailed event budget models including forecasting, tracking and reconciliation.
    • Experience negotiating and managing vendors and agencies including contracting and payment.
  • Demonstrated success in growing or refining execution plan for annual/repeat events (e.g., growing revenue or attendance YOY, finding production process efficiencies, increased experiential satisfaction).
  • Superior written and oral communication skills.
  • Develop executive-ready presentations.
  • Work within strict deadlines and high stress situations.
  • Ability to work with many different personalities.
  • Long hours and weekends are expected during events and high work volume times.
  • Proficiency in Word, Excel, PowerPoint/Canva, and Outlook, Constant Contact.
  • Demonstrated decision making and critical thinking skills.

 

EDUCATION:

Bachelor’s degree or equivalent combination of education and/or related prior employment experience preferred.

Starting Base Salary: $58,000-$65,000. VYSA base salaries are contingent upon several factors including individual qualifications and experience.
